Sponsorship Guidelines & Restrictions - ICPHC 2025

These guidelines ensure a valuable, professional, and cohesive experience for all ICPHC 2025 sponsors and attendees. Please review carefully to maximize your participation.

I. Brand Visibility & Recognition:

ICPHC 2025 offers comprehensive branding and recognition opportunities for all sponsors:

  • Conference Materials: Logo placement (print & digital)
  • Website Profile: Dedicated profile with logo & link
  • Communications: Brand inclusion in pre- & post-event communications and standard mentions in sponsored session descriptions
  • On-Site Branding: Logo placement on main stage screens & digital platforms
  • Post-Conference: Logo in post-conference reports

II. Session Guidelines:

All sponsored sessions must maintain an educational and professional environment. Direct promotional content/sales pitches are strictly prohibited.

  • General Rule: Sessions must align with conference themes & tracks. Sponsors are responsible for designing, preparing, and promoting their sessions, but promotion must comply with conference branding guidelines and ethical marketing practices.
  • Specific Session Types:

                 1. Closed Sessions

      • Availability: Tuesday, October 6, 2025 (day prior to main conference opening).
      • Eligibility: Sponsors who are eligible and wish to organize a closed session to ensure their invitees arrive by Monday, October 5, 2025
      • Format: Invitation-only, allowing sponsors full control over attendee selection.

                 2. Keynote & Plenary Sessions:

      • Exclusive Option: The first Co-host to commit will have the exclusive option to choose whether to deliver their keynote at the beginning or the end of the conference, on a first-come, first-served basis.
      • Speaker Limit: One sponsor/co-host representative (speaker or moderator) per session.
      • Presentation Format: No slides or PowerPoint presentations allowed.

                 3. Concurrent Sessions

      • Sponsors promotion of concurrent sessions must comply with conference branding guidelines and ethical marketing practices.

                 4. Lightning Paper Sessions:

      • Speaker Limit: One speaker per session.
      • Content Focus: Exclusively highlight key research findings.
      • Time Limit: 5 minutes.

                 5. Roundtable Sessions:

      •  Opportunity: Sponsors can propose and host table discussions, subject to conference themes.
      • Format: Collaborative environment; disruptive materials (large screens, projectors, etc.) prohibited.
      • Materials: Handouts must be easily distributable and non-disruptive.
      • Discussion Prompts: Sponsors can provide questions, subject to pre-approval.

                 6. Workshops:

      • Opportunity: Eligible sponsors can propose fully customized workshops (subject to approval).
      • Sponsor Control: Control over content and format.
      • Proposal Requirements: Sponsors must provide:
      • Workshop Objectives: Goals and alignment with conference themes, intended outcomes.
      • Workshop Content & Format: Detailed agenda, topics, structure (presentations, panel discussions, interactive activities, etc.).
      • Logistical Requirements: Technical needs (AV, internet), space requirements (room setup).
      • Timeline: Early proposal submission encouraged.
      • Integration: Approved workshops integrated into the conference program by the Program Committee.
    • * Sponsors co-organizing a workshop are required to submit the session details outlined above. This information enables the conference organizers to identify potential synergies

                 7. Personalized Side Events:

      • Opportunity: Sponsors can host invitation-only events.
      • Session Alignment: No need to align with official conference tracks, offering creative freedom.
      • Customization: Sponsors determine format, topics, and speakers.
      • Agenda Placement: Independent of the main conference program (not promoted as part of it).
      • Scheduling: Must be approved by the organizing committee and scheduled for Tuesday, October 6, 2025.

                 8. Field Visits:

      •  Location: Must take place within Addis Ababa.
      • Thematic Focus: Must align with the conference’s thematic focus.
      • Itinerary: Sponsors must provide a detailed itinerary (educational goals, planned activities) for approval.
      • Support Options: Sponsors can either host and plan visit, or support the effort by providing logistics (transportation, materials, signage).

III. Exhibition Space:

  • Inclusion: All sponsorship packages include complimentary exhibition space.
  • Higher-Tier Benefits: Premium booth placement, live demos, product showcases, interactive experiences.
  • Professional Conduct: Maintain a professional setting; disruptive sales tactics prohibited. Adhere to exhibition hall regulations (set-up, tear-down, noise, waste disposal).

IV. Additional Benefits:

  • Discounted Passes: Sponsors receive a 10% discount on additional conference passes.

V. Approval Process:

  • All Proposals Subject to Review: Giveaways, presentations, Roundtable (RT) sessions, Lightning Talk (LT) sessions, field visits, and side events require approval from the Program and Organizing Committee.
  • Session Scheduling: The Program Committee determines session scheduling to align with the overall conference agenda.
  • Sponsor Responsibilities: Submit all required session information (speaker details, session descriptions, presentation titles, etc.) by communicated deadlines.
  • Consequences of Non-Compliance: Failure to meet deadlines may result in limited promotional opportunities or removal from the program.

VI. Restrictions:

  • No Direct Sales Pitches: Prohibited during presentations, except at Roundtable sessions and the exhibition booth.
  • Educational Content Required: All sessions, including field visits, must focus on educational content.
  • Code of Conduct: All sponsor staff and representatives must adhere to the conference code of conduct.
